A Travel Policy People Will Actually Follow

Most travel policies fail in the same way. They are written to prevent the worst traveller, and they end up punishing the best one.

The result is predictable. People book outside the system, claim afterwards, and the company loses both the savings and the visibility it wrote the policy to protect.

Short beats thorough

If it does not fit on two pages, it will not be read, and a policy nobody reads is a policy nobody follows. Put the rules that matter in the front and move the rest to an appendix nobody has to open.

Decide what you are optimising for

Cost, speed and comfort are in tension, and pretending otherwise creates the gap where exceptions breed. Rank them, in writing. A sales team flying to close business and a project team on a three-month deployment should not be governed by the same instinct.

Give ranges, not verdicts

A single nightly hotel cap is fair in one city and absurd in the next. Set caps by city tier, review them against real rates, and let travellers see the number before they book rather than discover it in a rejected expense claim.

Make the compliant path the easy path

Nobody breaks policy for pleasure. They break it because the approved route took four emails and the other one took four minutes. If booking within policy is the fastest way to get a trip organised, compliance stops being a campaign and becomes a habit.

A policy nobody breaks is usually a policy nobody reads.

Name the approver, and name the exception

Every policy needs a legitimate way to say yes to the unusual trip. State who can approve an exception, what evidence they need, and how quickly they will answer. An exception route that works keeps the rest of the policy honest.

Review it twice a year

Fares move. Hotel rates move. Routes open and close. A policy written three years ago is not a standard; it is a fossil. Two short reviews a year, against actual spend and actual complaints, will keep it alive.
